How it works
How Gazebo Hire Works: Delivery, Set-Up and Collection
You tell us the date and the place. We deliver the gazebos, set them up, anchor them, and come back to take everything away. Here is each step, and what we need from you along the way.
What every delivered hire includes
Gazebo hire with us includes set-up as standard. A standard booking covers all of this, with nothing added on the day:
- Delivery to your site
- Installation by our trained crew
- Cast iron weights and safety anchoring
- Safety checks before handover
- Collection and site clearance
- Public liability and damage cover
The seven steps
Get a quote in minutes
The fastest route to a price is our quote builder: pick your gazebos and add-ons, add your details and send it straight to the team. You can also call 020 3488 5015 or email fastreply@londongazebohire.co.uk.
Whichever you choose, we ask the same things: the date and times, the postcode or venue, roughly how many guests, what the gazebo will stand on (grass, patio, decking or a roof), how we get in, and any extras such as lighting, heaters or furniture. A real person replies with a tailored quote, usually within the hour and the same day.
Confirm and pay
Once you are happy with the quote, we email an invoice and delivery instructions, usually the same day. Payment is taken upfront, in full, when the booking is confirmed.
If you cancel with more than 30 days' notice the charge is 20% of the total hire, rising to 50% at 7 to 30 days and 100% under 7 days. Every booking is covered by our terms and conditions, which set out these charges and what you are responsible for while the gazebo is on site. Our price match and beat guarantee applies to like-for-like quotes across Greater London.
Delivery window and access check
Tell us when we can drop off and collect, by email or in the booking notes. The wider the window you give us, the easier it is to fit your delivery in, and a fixed time slot can be arranged if you need one. Deliveries and collections run 24/7, including bank holidays, so early starts, late finishes and overnight builds are all possible.
Tell us about anything that affects access: where the van can park or load, whether the site is inside the Congestion Charge zone, steps, narrow side gates, lifts, and whether the build is on a roof. Central London load-ins are routine for us, and for rooftops we survey the site first. The Congestion Charge and parking are included in your quote price.
Set-up by our crew
Our trained crew arrives, checks the ground and positions the gazebos where you want them. A two-person team puts up each gazebo in under 7 minutes; the 4x8m Mammoth takes a specialist crew of four to six around two to three hours.
Every leg is anchored with cast iron weights, never pegs. Then the crew fits whatever you have booked: gutters between joined units, zip-in sidewalls, lighting, heaters, flooring and furniture. Lights and heaters need a power supply; our fairy light nets come with a 15m outdoor extension cable, and for bigger builds we can bundle generators. The crew runs safety checks before handing over. Every crew member is trained hands-on by the company owner, and our rigging follows MUTA and council guidelines.
During the hire
Once it is up, the gazebo is yours to enjoy, and your responsibility while it is on site. Hire runs from one hour to a year, so overnight and multi-day events are normal. At night, zip the sidewalls down and leave the weights where the crew put them.
Wind limits vary by size and setup, and we monitor wind speeds closely before and during every hire. If high wind is forecast we bring extra weights and tie-down kits free of charge, and if conditions become unsafe the crew will advise you. If anything moves, gets damaged or you need more cover at short notice, call 020 3488 5015.
Collection and pack-down
At the agreed time the crew comes back, takes everything down, packs it away and clears the site. We need access to the space and the weights at that time. Please clear your own belongings from under the canopy first; anything left behind slows the pack-down for everyone.
Same-day, next-day and dry hire
Last-minute hire is what we are known for. Same-day and next-day delivery is regularly available across Greater London, subject to stock, and urgent bookings can be with you in as little as four hours. For a guaranteed date, book five working days ahead; bespoke sizes need 15 working days.
Prefer to do it yourself? Dry hire means you collect the gazebos and weights from our depot at Ilford Sports Club, 3 Cricklefield Place, Ilford IG1 1FY, and your own experienced crew puts them up. Collection and return times are agreed when you book.
Paperwork for venues and organisers
Venues and councils often ask for documents before they let a structure on site. These are ready to download and forward:
- Public liability insurance certificate (PDF)
- Risk assessment and method statement (PDF)
- Terms and conditions (PDF)
- Where we deliver
We have a 100% injury-free record across more than 1,000 events. Questions about wind, permits or surfaces are answered in our gazebo hire FAQs.
Delivery and set-up questions
Do you set up the gazebo, or just drop it off?
We set it up. Every delivered hire includes installation, anchoring and safety checks by our own crew, and we come back to take it down. Drop-off without set-up is called dry hire, and for that you collect from our Ilford depot.
Can the gazebo go up the day before my event?
Yes. Hire can start whenever suits you, including the day before, and out of hours or overnight builds are available for venues with tight schedules. Tell us your timings when you ask for a quote.
Do you deliver at weekends?
Yes. Deliveries and collections run 24/7, including weekends and bank holidays. Our office is open Monday to Friday, 08:00 to 17:30, and Saturday and Sunday, 09:00 to 16:00. Weekend phone availability may vary.
